Terms

Operated by Jaiye Journeys

We believe booking a trip should feel exciting, not risky. Whether you are joining us for a Between the Lines reading retreat, a group trip, or another Jaiye Journeys experience, these Terms are designed to be fair, transparent, and flexible, because life happens, while still setting out clearly what each of us can expect.

By paying a deposit or making any payment towards a Jaiye Journeys experience, you confirm that you’ve read, understood, and agreed to these Terms, which form a legally binding agreement between you (“you”, “your”) and Jaiye International Ltd (company number 17084830), trading as Jaiye Journeys (“we”, “us”, “our”), the organiser and contracting party for your booking.

Your booking isn’t confirmed until we’ve received your deposit and issued a booking confirmation.

Because this booking relates to leisure services provided on specific dates, the statutory 14-day cooling-off period under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 doesn’t apply. Instead, we offer our own 48-hour cool-off period, see Part A below.

We reserve the right to decline or cancel a booking where, acting reasonably, we believe a guest’s behaviour or conduct presents a risk to the safety, wellbeing, or enjoyment of others, in line with Guest Conduct & Code of Conduct in Part D below.

Part A: Deposits, Payments & Cancellation

1. Deposits & Payments

  • Deposit: A non-refundable deposit is required to secure your place. The deposit amount is trip-specific and will be clearly confirmed at the time of booking. Deposits go towards accommodation commitments, supplier contracts, planning, and administration costs incurred in organising your trip. Deposits are non-refundable where you voluntarily cancel, though nothing in this clause affects your statutory rights under applicable travel legislation. Where unavoidable and extraordinary circumstances significantly affect the performance of your trip or travel to the destination, you may be entitled to a refund in accordance with applicable law, see Force Majeure in Part B.

  • 48-Hour Cool-Off Period: If you change your mind within 48 hours of booking, we’ll refund your deposit in full, provided your trip is more than 60 days away.
  • Final Balance: The remaining balance is due no later than 60 days before your trip starts. If it isn’t paid on time, we reserve the right to cancel your booking and retain the deposit.

2. Payment Plans

  • Our Payment Plans: We offer flexible monthly payment plans via Stripe, with no interest for paying in instalments. If you cancel after the 48-hour cool-off period, any instalments already due remain payable, calculated in line with our Cancellation & Refund Policy for your cancellation date, not your payment plan schedule.
  • Klarna: Where Klarna is offered as a payment option through Stripe, your booking is confirmed once the Klarna transaction completes, and no separate deposit to us is required. Your Klarna agreement is a separate finance arrangement between you and Klarna, governed by Klarna’s own terms, fees, and schedule, not by us. Cancelling your Jaiye Journeys booking doesn’t automatically end your Klarna agreement, that’s handled directly with Klarna, and our Cancellation & Refund Policy still applies to what’s been paid to us.

3. Cancellation & Refund Policy

Applies to Jaiye Journeys group trips and Between the Lines retreats. Destination weddings follow a separate policy, see your wedding service agreement.

Guest Cancellations:

  • More than 120 days before departure: any amount paid above your deposit will be refunded, minus a £50 administrative fee.
  • 120 days or fewer before departure: all payments are non-refundable.

Resale Protection (Your Safety Net): If you need to cancel within the non-refundable period, we will refund you (minus a £75 re-booking fee) IF we can fill your spot.

  • You are welcome to find a replacement yourself.
  • We will also advertise the spot to our waitlist.

Important Note on Pricing: If we need to discount the spot to secure a last-minute booking, your refund will reflect the actual price paid by the new guest, minus the re-booking fee. If the spot remains unfilled, the standard cancellation terms apply.

4. Deposit Non-Transferability

Deposits cannot be moved between different trips or different departure dates. If you would like to switch to a different Jaiye Journeys experience altogether, this counts as a new booking, and a new deposit is required.

This is separate from transferring your place on the same trip to another guest, see Transfers & Name Changes below.

5. Non-Payment & Non-Responsive Bookings

If you don’t respond to our communications, or don’t make payments by the agreed deadlines, we reserve the right to cancel your booking and retain any monies already paid, in line with these Terms. Your place may then be offered to another guest.

6. Transfers & Name Changes

Can’t make it? You can transfer your place, deposit and all, on the same trip, to a friend or family member, at no extra cost.

  • Notification: You must notify us at least 7 days prior to the start date with the new guest’s name and contact details.
  • Requirement: The new guest must agree to these Terms & Conditions.

This is different from moving your deposit to a different trip or date, which isn’t possible, see Deposit Non-Transferability above.

7. Shared Room Bookings

Where you book a shared room and your roommate cancels, you may:

  • provide a suitable replacement guest, subject to our approval, or
  • upgrade to a private room by paying the difference in price.

If neither option is taken, the standard Cancellation & Refund Policy applies to the vacated space.

Part B: Trip Changes & Cancellations by Us

8. Minimum Numbers & Cancellation by Us

Group trips and retreats depend on reaching minimum guest numbers to go ahead. We reserve the right to cancel a trip where necessary due to:

  • insufficient guest numbers;
  • force majeure or other unavoidable and extraordinary circumstances (see Force Majeure below);
  • supplier or venue issues;
  • health and safety concerns;
  • host illness; or
  • other unforeseen operational circumstances beyond our reasonable control.

Where we cancel, you’ll be offered either a full refund of everything paid, or the option to transfer to another Jaiye Journeys experience, subject to availability, within 14 days.

Where reasonably practicable, we’ll aim to give at least 30 days’ notice.

We are not responsible for your personal travel expenses (flights, trains, etc.), which is why travel insurance is mandatory.

9. Force Majeure (Including War & Hostilities)

Neither Jaiye Journeys nor you will be liable for any failure or delay in meeting our obligations where this results from circumstances beyond reasonable control, including war, armed conflict, terrorism, civil unrest, pandemic or epidemic, natural disaster, severe weather, government restriction, border closure, sanctions, travel bans, supplier insolvency arising directly from such events, or venue unavailability caused by circumstances outside our control.

Where such an event significantly affects the performance of your trip or travel to the destination, you may be entitled to a refund or alternative arrangement in accordance with applicable travel legislation and our Minimum Numbers & Cancellation by Us policy above.

10. Changes to Itinerary

We may need to make reasonable changes to accommodation, activities, timings, or suppliers due to operational requirements, weather, health and safety, or supplier availability. Where a change is significant, we will let you know as soon as reasonably possible. A change to the itinerary does not, by itself, entitle you to a refund.

Part C: Travel, Suppliers & Your Responsibilities

11. Travel & Insurance

  • Travel Arrangements: Guests are responsible for booking their own travel to the destination or meeting point.
  • Mandatory Insurance: It is a condition of booking that you have valid travel insurance that covers cancellation, medical emergencies, and personal property. We recommend purchasing insurance immediately after booking your spot to cover you for any unexpected personal emergencies (e.g., jury service, illness, or redundancy).

12. Independent Suppliers

Many elements of your experience, accommodation, chefs, activity providers, drivers, and guides, are delivered by independent third-party suppliers. We select these suppliers carefully, but they operate independently and are responsible for their own service delivery. Except where liability cannot legally be excluded, Jaiye Journeys is not responsible for the acts, omissions, or negligence of an independent supplier.

13. Participant Responsibilities

You are responsible for:

  • booking and funding your own travel to and from the trip, unless otherwise agreed;
  • holding a valid passport, visa, and any other documentation required for your destination;
  • arranging comprehensive travel insurance, as set out above;
  • arriving at the meeting point at the advertised time;
  • telling us about any medical condition, allergy, dietary requirement, or accessibility need before travelling;
  • behaving respectfully towards fellow guests, staff, suppliers, and the public; and
  • taking reasonable care of any accommodation, vehicles, equipment, or property used during the trip.

You remain responsible for costs arising from missed flights, delayed transport, immigration issues, or missing documentation.

14. Health & Dietary Requirements

  • Notifications: Guests must notify us of any severe allergies or accessibility requirements at least 30 days prior to the trip.
  • Accommodations: While we strive to accommodate all dietary needs, we cannot guarantee a 100% allergen-free environment in shared kitchens, hotels, or partner venues.

15. Health & Safety

Full guidance on medical requirements, activity risk, water activities, alcohol, unstructured free time, and general safety on our trips is set out in our Health & Safety document, which forms part of these Terms. Please read it before you travel.

Part D: Guest Conduct & Property

16. Guest Conduct & Code of Conduct

We want every trip to feel welcoming and enjoyable for the whole group. We ask all guests to treat fellow guests, hosts, staff, suppliers, and the public with respect.

We may remove a guest from a trip, without refund, for any of the following:

  • unsafe behaviour that puts themselves or others at risk;
  • abusive, threatening, or harassing conduct;
  • discriminatory behaviour of any kind;
  • illegal activity; or
  • any other behaviour that seriously affects the safety or enjoyment of the group.

Any extra costs arising from a removal, including onward travel or accommodation, are the responsibility of the guest concerned.

17. Damage to Property

You’re responsible for any loss or damage to accommodation, vehicles, furnishings, or equipment caused by you during the trip. Any repair, replacement, or additional cleaning costs will be payable by you. Where a supplier charges us for damage caused by a guest, we reserve the right to recover that cost from the guest responsible.

18. Lost Property

You’re responsible for your own belongings throughout the trip. We’re not responsible for loss, theft, or damage to personal items during the trip or while travelling. If something is found after the trip ends, we’ll do what we can to return it, though postage or courier costs are down to you, and we can’t guarantee recovery.

Part E: Liability & Media

19. Limitation of Liability

Nothing in these terms limits any liability that cannot legally be excluded, including for death or personal injury caused by negligence.

Subject to that, our total liability to you for any booking is limited to the total amount you paid for that experience.

We are not liable for:

  • indirect or consequential losses;
  • loss of enjoyment;
  • loss of earnings;
  • missed flights or other onward transport;
  • additional accommodation costs you incur outside of your booking with us;
  • loss of business opportunity;
  • currency fluctuations;
  • losses arising from travel delays outside our reasonable control; or
  • any other loss resulting from events beyond our reasonable control.

20. Photography & Media

We create and share content from our trips, on our website, social media, marketing materials, and occasionally through press or partner features, because these experiences are also how future guests discover us.

By attending a Jaiye Journeys or Between the Lines experience, you agree that photographs and video taken during the trip, by us, our team, or a photographer or content creator working with us, may be used for promotional, editorial, and marketing purposes, in any media, without payment to you.

If you’d prefer not to be photographed or filmed, tell us in writing before your trip begins and we’ll do our best to keep you out of shot. You can withdraw this consent at any time in writing, though it won’t apply to material already published.

Please respect your fellow guests’ privacy, ask before sharing images in which someone else is clearly identifiable, particularly on your own social media.

Part F: Legal

21. Privacy

Information collected when you book is used to administer your booking, communicate with you about your trip, and meet our contractual obligations, in line with UK data protection law. We will never sell your personal information. Full detail is in our Privacy Policy.

22. Complaints

We want to put things right quickly. If something isn’t right during your trip, please raise it with your host or with us as soon as possible, most things are easiest to resolve in the moment, and raising it early helps us investigate properly.

If your concern isn’t resolved during the trip, please submit a written complaint to hello@jaiyejourneys.com within 28 days of your trip ending, including:

  • your booking reference;
  • a description of what happened;
  • any relevant supporting information; and
  • the outcome you’re looking for.

We’ll acknowledge your complaint within 7 business days, and aim to provide a full written response within 21 days.

Not raising an issue during the trip may affect how fully we’re able to investigate it afterwards.

23. Dispute Resolution

If a complaint under the Complaints procedure above isn’t resolved to your satisfaction, or a wider dispute arises, please contact us in writing at hello@jaiyejourneys.com. We aim to work towards a resolution within 45 days of your written notice.

If the matter remains unresolved after 45 days, either party may pursue it through the courts, see Governing Law below.

24. Governing Law

These terms are governed by the laws of England and Wales, and any dispute relating to them or to your booking falls under the exclusive jurisdiction of the courts of England and Wales.

25. Amendments to these Terms

We may update these Terms from time to time, to reflect changes in the law, our services, or how we operate. The version in force at the time your booking is confirmed applies to your booking, unless a change is required by law. The most up to date version will always be on our website.

26. Severability

If any part of these Terms is found to be invalid or unenforceable, that part will be removed and the rest will continue to apply in full.

27. Entire Agreement

These Terms, together with your booking confirmation, trip-specific information, our Health & Safety document, and our Privacy Policy, make up the whole agreement between you and Jaiye Journeys for your booking. Anything said outside of this in conversation or email doesn’t form part of the agreement unless we confirm it to you in writing.

28. Contact Us

Questions about these Terms or your booking are always welcome at hello@jaiyejourneys.com.

29. Acceptance of these Terms

By paying a deposit or making any payment towards a Jaiye Journeys experience, you confirm that you’ve read, understood, had the chance to ask questions, and agreed to be bound by these Terms.
