Jaiye Journeys Terms & Conditions

We believe booking a trip should feel exciting, not risky. Whether you are joining us for a Between the Lines reading retreat or another Jaiye Journeys experience, our terms are designed to be fair, transparent, and flexible because we understand that life happens.

1. Booking & Payments

  • Securing Your Spot: A non-refundable deposit of 25% is required to secure your booking for any experience.

  • Payment Plans: We offer flexible monthly payment plans via Stripe to spread the cost. There are no interest fees for paying in instalments.

  • Final Balance: The remaining balance is due no later than 60 days before the experience start date. If the balance is not paid on time, we reserve the right to cancel your booking and retain the deposit.

  • 48-Hour Cool-Off Period: If you change your mind within 48 hours of booking, we will refund your deposit in full (provided the experience is more than 30 days away).

2. Cancellation Policy (“The Fair Play Clause”)

We know emergencies happen. Unlike many operators that offer zero flexibility, we offer a tiered refund policy and a resale protection clause.

If you need to cancel:

  • More than 90 days before the trip: You will receive a full refund of all monies paid, minus a £50 administrative fee.

  • 61–90 days before the trip: You will receive a refund of any balance paid, but we will retain the 25% non-refundable deposit.

  • 60 days or less before the trip: All payments are non-refundable. However, see our “Resale Protection” below.

Resale Protection (Your Safety Net):
If you have to cancel within the non-refundable period (60 days or less), we will refund you (minus a £75 re-booking fee) IF we can fill your spot.

  • You are welcome to find a replacement yourself.

  • We will also advertise the spot to our waitlist.

Important Note on Pricing: If we need to discount the spot to secure a last-minute booking, your refund will reflect the actual price paid by the new guest, minus the re-booking fee. If the spot remains unfilled, the standard cancellation terms apply.

3. Transfers & Name Changes

Can’t make it? You can transfer your booking to a friend or family member at no extra cost.

  • Notification: You must notify us at least 7 days prior to the start date with the new guest’s name and contact details.

  • Requirement: The new guest must agree to these Terms & Conditions.

4. Cancellations by Us

We rarely cancel, but if we must do so due to unforeseen circumstances (e.g., venue issues, host illness, or force majeure):

  • You will receive a 100% refund of all monies paid (including your deposit) within 14 days.

  • We are not responsible for your personal travel expenses (flights, trains, etc.), which is why travel insurance is mandatory.

5. Travel & Insurance

  • Travel Arrangements: Guests are responsible for booking their own travel to the destination or meeting point.

  • Mandatory Insurance: It is a condition of booking that you have valid travel insurance that covers cancellation, medical emergencies, and personal property. We recommend purchasing insurance immediately after booking your spot to cover you for any unexpected personal emergencies (e.g., jury service, illness, or redundancy).

6. Health & Dietary Requirements

  • Notifications: Guests must notify us of any severe allergies or accessibility requirements at least 30 days prior to the trip.

  • Accommodations: While we strive to accommodate all dietary needs, we cannot guarantee a 100% allergen-free environment in shared kitchens, hotels, or partner venues.

7. Guest Conduct & Liability

  • Respect & Community: We curate communities of like-minded travelers. We ask all guests to treat the venue, staff, and fellow attendees with respect.

  • Damages: Guests are responsible for any damage caused to the venue or accommodation property during their stay and will be invoiced for any necessary repairs.

  • Liability: Jaiye Journeys is not liable for any personal injury, loss, or theft of personal belongings during the experience.
